Project Support Assistant

BBS Recruitment is currently recruiting for an experienced Project Support Administrator ( Scale 5)  in a temp position for our client in Hackney, London.

The successful candidate should be a highly experienced person within the role.

 Purpose of job:

To be responsible for supporting the contract team providing a complete support, administrative, and information service to the Property and Asset Management Team.

To provide a range of administrative services and to participate in knowledge transfer and generic working.

To assist in the implementation of information systems across the Division.

To work closely with the other teams in the division and develop close functional links with these teams.

To administer staff absence, sickness leave, recruitment and selection process for the Division, other associated records providing data as required to managers.

To be responsible for the training and induction of staff within the contract team.

Key Accountabilities.

To be responsible for preparing agendas, circulating papers, and minuting meetings.

To load orders for all the works programmes that are produced by the contractors, to maintain adequate supplies of stationery and office equipment, to undertake filing, printing and preparation of documents.

To load all contract information e.g. asbestos reports, CDM information etc and regularly update the Division's information systems.

To prepare completed works reports from United Housing, send to the contractors and load and process their payments and to keep records of such payments

To produce the monitoring of corporate and departmental targets relating to your contract area.

To ensure that all documents subject to audit are available for inspection and are correctly filed

To be aware of changes and issues in regeneration and housing policy that have a bearing on the work of the Division; to circulate consultation papers and other information to the appropriate staff, as required by the Contract Administrator.

To support the maintenance of the PAM's library, to order publications and ensure that technical and specialist journals are available to staff.

Qualifications and Knowledge Requirements:

A comprehensive working knowledge of administrative in a large, able to work with minimal supervision, have enthusiasm and the ability to learn and develop skills and knowledge.

Proven experience of providing a range of support services including effective oral and written communication, diary management, drafting letters, reports on behalf of senior managers.

An understanding of budgets and why they need to be controlled and monitored.

An understanding of the effects of discrimination and exclusion against certain groups of service users and employees and an ability to eradicate such discrimination through promotion of inclusiveness and equality of opportunity.

An understanding of the operation of local government, including the current financial, legal and political issues facing the public sector.

Able to regularly attend evening meetings.

The ability to operate a range of IT software packages including: Microsoft Word; WordPerfect; GroupWise; Excel, Universal Housing, PSI, Codeman, Respond and the Council’s Financial System.

To type accurately at a reasonable speed and to take dictation using audio typing systems.
